Using documents with AI

Use documents with Success Agent to get more done. Attach a file to a conversation or reference previously uploaded documents with @, and let AI analyze, summarize, or use their contents in tasks.

You can also use documents with Success Agent, such as PDF and text files. In this guide, documents means files other than images.

When you attach a document to a conversation, Success Agent reads its contents and can use it to complete tasks, analyze information, or help you in other ways.

For example, you can send a PDF file that contains product information. Based on that, Success Agent can help you process the information and carry out actions such as adding a new product to your online store.

What can documents be used for?

Documents are useful when you want to give AI more background information for a task.

You can use documents, for example, when you want to:

  • analyze the contents of a document

  • ask for a summary

  • find specific information in a file

  • use document data to complete a task

  • give Success Agent background material it can use to help you move forward

How to attach a document to a conversation

You can attach a document directly to a conversation with Success Agent.

Do this:

  1. Open Success Agent

  2. Click Attach below the message field

  3. Select Attach document

  4. Select a document from your device

  5. Write your message and send it

When you send the message, Success Agent reads the document and uses it to process your request.

Example of using a document

For example, you can send a PDF file that contains product details and ask Success Agent to create a new product in your online store based on it.

You can start, for example, like this:

  • “I attached a PDF file that contains the details of a new product. Add a new product to my online store based on it.”

  • “Review this document and tell me which details from it should be used in the product description.”

  • “Create a new product based on this file and also write a product description for it.”

If Success Agent does not understand the task correctly at first or the result is not what you want, you can continue the conversation and clarify:

  • what should be taken into account from the document

  • what you want to achieve

  • how you want the information to be handled

The result often improves when you explain the purpose of the document and your goal a bit more clearly.

Success Agent can delegate the task to a worker

Success Agent can also delegate a document-related task to a suitable worker.

This is especially useful when you want to use a document as part of a more specific task. You can first discuss it with Success Agent and then ask it to delegate the work to a suitable worker.

Where can you find uploaded documents?

All documents you upload can be found in the admin under Team → Documents.

There you can:

  • view documents you have uploaded earlier

  • upload new documents

  • use documents later in conversations

How to use a previously uploaded document in a conversation

You can refer to previously uploaded documents while talking with Success Agent by typing @ in the message field.

When you type @, a menu opens where you can search for and select the document you want. After you select a document, its name appears in the conversation field. You can then write a prompt next to it describing what you want Success Agent to do with it.

For example, you can write:

  • “@product-details.pdf review this and create a new product based on it”

  • “@material-guidelines.txt summarize the most important points from this”

  • “@product-catalog.pdf find the most important selling points of this product”

This is a convenient way to reuse the same document without uploading it again each time.

What should you keep in mind when using documents?

Using documents usually works best when you explain as clearly as possible what you want AI to do.

A good prompt often includes:

  • which document is being used

  • what should be found or done with the document

  • what kind of result you want

If the task is broader or the document contains a lot of information, it is often worth giving a more specific instruction. This helps Success Agent use the document more effectively for the right purpose.
